Job Summary:
The Surgery/Procedure Scheduler is responsible for coordinating surgical procedures and related tasks to ensure a seamless experience for both patients and providers. This role requires excellent communication, organizational skills, and the ability to manage multiple priorities in a fast-paced medical office setting.

Key Responsibilities:
  • Schedule surgical procedures at affiliated hospitals and coordinate pre-admission testing.
  • Ensure surgical cases are properly prepared by arranging required equipment, procedure times, and preoperative orders.
  • Act as a liaison between patients and clinical support staff to facilitate clear communication and smooth scheduling.
  • Obtain insurance authorizations for hospital admissions.
  • Coordinate surgical schedules with providers and surgical assistants.
  • Prepare and organize documentation necessary for billing, including operative reports, pathology requests, and CPT coding sheets.
  • Complete FMLA and short-term disability paperwork related to surgical procedures.
  • Provide return-to-work and medical extension notes as needed.
  • Maintain and manage the physician’s calendar, including practice and hospital meetings.
  • Answer incoming calls, assess needs, and route to the appropriate personnel; relay accurate and timely messages.
  • Schedule post-operative follow-up appointments as directed.
Qualifications:
  • High school diploma or equivalent required.
  • Minimum of 1 year of experience in a medical office or similar healthcare setting preferred.
  • Knowledge of medical terminology and CPT/ICD-10 coding strongly preferred.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) preferred.
  • Excellent organizational and communication skills.
  • Ability to maintain confidentiality and professionalism.
  • Willingness to travel between practice locations as needed.
