The Surgery/Procedure Scheduler is responsible for coordinating surgical procedures and related tasks to ensure a seamless experience for both patients and providers. This role requires excellent communication, organizational skills, and the ability to manage multiple priorities in a fast-paced medical office setting.
Key Responsibilities:
- Schedule surgical procedures at affiliated hospitals and coordinate pre-admission testing.
- Ensure surgical cases are properly prepared by arranging required equipment, procedure times, and preoperative orders.
- Act as a liaison between patients and clinical support staff to facilitate clear communication and smooth scheduling.
- Obtain insurance authorizations for hospital admissions.
- Coordinate surgical schedules with providers and surgical assistants.
- Prepare and organize documentation necessary for billing, including operative reports, pathology requests, and CPT coding sheets.
- Complete FMLA and short-term disability paperwork related to surgical procedures.
- Provide return-to-work and medical extension notes as needed.
- Maintain and manage the physician’s calendar, including practice and hospital meetings.
- Answer incoming calls, assess needs, and route to the appropriate personnel; relay accurate and timely messages.
- Schedule post-operative follow-up appointments as directed.
- High school diploma or equivalent required.
- Minimum of 1 year of experience in a medical office or similar healthcare setting preferred.
- Knowledge of medical terminology and CPT/ICD-10 coding strongly preferred.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook) preferred.
- Excellent organizational and communication skills.
- Ability to maintain confidentiality and professionalism.
- Willingness to travel between practice locations as needed.
